In short

  • Three clear roles.Owner, admin and member, each with a fixed set of permissions.
  • Invite by email. The invitation link works for 7 days, for the address it was sent to.
  • Nobody grants more than they have.No one can invite or promote someone above their own role.
  • Always one owner. The last owner cannot be removed, so a workspace is never left without one.

The people who answer visitors are not always the people who manage billing or connect your tools. OneType gives each teammate a role, so everyone can do their job without having access to things they should not touch.

What each role can do

Members do the daily work. They read and reply to conversations, take chats over, edit contacts, create and improve agents and knowledge, and edit the chat's design. They cannot publish a design change, delete agents, manage integrations or change billing.

Admins run the workspace. On top of what members do, they invite and remove people, take a conversation from a teammate, delete and export conversations, export and erase contacts, publish the chat design, and manage integrations, webhooks and API keys.

Owners have everything admins have. Only owners manage billing, manage other owners and can delete the workspace.

Inviting your team

  • Open Settings, then Team, and enter an email and a role.
  • OneType emails a link to join. It works for 7 days.
  • The person signs in or creates an account with that email, confirms it and joins.
  • Pending invitations are listed, and you can revoke them at any time.

An invitation only works for the address it was sent to, and only after that address is confirmed, so a forwarded link does not let someone else in. Owners and admins can invite. Only owners can invite another owner.

Changing roles and leaving

Owners and admins change roles and remove people from the Team page. Nobody can give someone a role above their own, and only an owner can change or remove another owner. Anyone can leave a workspace, but a workspace always keeps at least one owner. To hand over a workspace, make someone else an owner first, then leave.

Roles show up everywhere

The dashboard adapts to each person's role. Buttons someone cannot use are often shown disabled with a short note saying who can, for example that only owners and admins can take a conversation from a teammate, instead of failing after a click. Behind the scenes, OneType checks every action on the server as well, so a role's limits hold even outside the dashboard.

Roles also decide who hears about what. Everyone who can reply gets handoff alerts, billing notices go to owners, and alerts about things to fix go to owners and admins. Some actions are reserved for people and never allowed with an API key, such as exporting or erasing visitors' data.

A record of team changes

Joins, removals, role changes and invitations are recorded automatically in the workspace's audit record, together with other sensitive actions, and kept for a year. Free has 1 seat, Premium up to 10 team members, and Enterprise no limit.
